A few things sit outside the per-user price
We'll always quote these clearly and up front.
- Your Microsoft 365 licences: buy them through us (we're a Microsoft reseller) or direct, either way we manage them
- Hardware: buy your servers, switches, routers, Wi-Fi, firewalls (UTMs), printers and multifunction devices, CCTV and recorders through us at transparent cost, sized, set up and warranty handled (or source your own, either way we support it)
- On-site backup for data that isn't in Microsoft 365 (see the note below)
- Centrally-managed email signatures with Exclaimer
- One-off projects like cloud migrations or office moves
On-site backup. For anything that lives on your premises rather than in Microsoft 365, a local server or a practice-management database, for example, backup is an optional add-on using Acronis Cyber Cloud. It's priced simply: a per-machine backup licence plus secure cloud storage charged per terabyte. We size it to exactly what you've got.
No hidden fees, no jargon

Pricing questions
Why per user, per month?
It's the fairest and most predictable model for a practice. You pay for the people who actually use IT, your cost scales cleanly as you grow, and there are no surprise bills. Accountants tend to appreciate a number they can budget around.
What counts as a 'user'?
Generally anyone who uses a computer or email as part of their work, partners, fee-earners and admin staff. We'll confirm the exact count with you so it's transparent, and adjust it as people join or leave.
We've got a larger team. Is there a discount for more users?
Yes. The headline per-user price suits a typical small practice; for larger teams we're happy to offer a tiered per-user discount that reflects the scale, so the more users you have, the lower the per-user rate. Tell us your headcount when you get in touch and we'll put together pricing that fits a firm your size.
Can we buy our Microsoft 365 licences through you?
Yes. We're a Microsoft reseller, so you can buy your 365 licences through us and keep everything on one bill, or carry on buying them direct from Microsoft if you'd rather. It's roughly an even split among our clients, and either way we set the licences up and manage them for you.
Is our Microsoft 365 data actually backed up?
Yes, and it's included in your per-user price. It's a common myth that Microsoft fully backs up your 365 data; they don't, not to the standard a practice needs. So every user gets a separate, daily Acronis Cyber Cloud backup of their mailbox, OneDrive and your company SharePoint, plus unlimited shared mailboxes, protected against ransomware, mistakes and accidental deletion.
What about our server, or data that isn't in Microsoft 365?
We back that up too, as an optional add-on, using Acronis Cyber Cloud. It's priced simply: a per-machine backup licence plus secure cloud storage charged per terabyte. We size it to exactly what you hold and quote it up front, no guesswork.
What about one-off projects?
Anything outside day-to-day support, a cloud migration, a new server, an office move, is quoted clearly in advance, so you always know the cost before we start. No open-ended 'we'll have a look and let you know' invoices.
